Kingston Harley Events - Top Ten Tips on Planning your Event

Planning an event can be pretty overwhelming, so Megan Wellman, Kingston Harley Events Co-Founder and Event Planner, has put together her top ten tips to help you out!

1. Get yourself an Event Planner. A professional who knows exactly what they’re doing. If you don’t use an Event Planner, you can purchase an Event planning book or start writing up a list of what is needed to do.

2. Think about the purpose of your event, what do you want to achieve? For everybody to have a good time? To celebrate a cause? To raise money? Deciding on the outcome will give you the best chance of hosting the perfect event.

3. Decide on the most important logistics; the type of venue you want, what time you want to host it and the date your event should fall on. Draft up a guest list and decide if you want food and drink so when it comes to contacting your venues, they have all the information they need.

4. You’ve decided on where and when, what else do you need? Do you need A/V equipment? Sweet Stands or Photo Walls and Wishing Wells? What decorations do you want? Choose a theme for your event and the rest of it should flow!

5. Get those invites sent out! Make a list of everybody you want to invite. Take into consideration people who won’t show up. On average, 20% of people are unable to make an event, so you want to over invite. For example, if you’re hosting a party and need to fill 100 spaces, invite 120 people. Make sure you keep track of who and who isn’t coming all the way up to your event!

6. Stay calm during this process! As long as you keep everything written down and organised (or you have an Event Planner!) you should try to keep stress levels to an absolute minimum! Being stressed allows time for mistakes.

7. It should be fairly close to your event now, go over your initial check list to make sure nothing has been left out. Go over it with your Event Planner (or a friend) to get all those final bits and bobs sorted!

8. Your event is here! Stay calm and allow yourself to enjoy the day! Have your Event Planner (or ask a friend) to manage the On-The- Day Coordination so you can enjoy your event and focus on your guests that are attending.

9. Your amazing Event is over and now it’s time to reflect! Make a note of what went well and what could have been better, so you can take this into consideration for future events.
